The Board of Directors at London Volleyball Club bring together at least 3, but not more than 5, amazing individuals from our community looking to support the organization’s mission and values.

The Board of Directors holds six (6) Board Meetings and one (1) Annual General Meeting throughout each season, produces an Annual Report once per season, oversees complaints and violations of Code of Conducts, and helps support the ongoing operations of the club aligned with the club’s values, mission, and vision.

The President acts as the Chair of the Board of Directors and is the general manager of the Club, working to supervise its processes and direct its personnel to ensure all activities are compliant with the mission and organizational culture of the Club. The President can also act as the Executive Director of the Club, should the individual and Board agree to the dual role. Here is the role description:

  • Ensuring London Volleyball Club’s activities are compliant and in furtherance of its mission, vision, and grounded in its philosophy and values.
    • Championing the organization and advocating its mission to internal and external stakeholders.
    • Leading, managing, and developing London Volleyball Club’s membership, employees, volunteers, and organizational culture.
    • Developing, implementing, monitoring, and assessing London Volleyball Club’s programming and impact.
    • Developing, implementing, monitoring, and assessing sound and compliant financial management practices (including budgeting) and fundraising practices.
  • Developing, informing, and supporting the Board of Directors and all Club Coordinators and committee members to carry out their governance functions and responsibilities.
    • Developing and maintaining beneficial relationships with stakeholders.
    • Ensuring effective external communications about the organization and its mission, priorities, importance, programs, and activities.
    • Keeping informed and the organization’s leadership informed of significant developments and changes in the internal and external environment.
    • Ensuring legal compliance (including all required filings) and sound risk management practices.
    • Ensuring the Board has approved policies to help ensure sound and compliant governance and management of the organization.
    • Setting priorities and creating agendas for meetings of the Board.
 

The Secretary acts to facilitate efficient and effective organizational governance. The Secretary prioritizes the scheduling and logistics involved with Board of Directors meetings and the club Annual General Meeting. The Secretary takes notes and publicizes minutes of these meetings for club members in a timely manner. Here is the role description:

  • Ensuring the efficient and compliant operation of the board of directors by facilitating effective corporate governance.
    • Scheduling of Board meetings and Annual General Meetings
    • The creation and timely distribution of agenda for Board meetings and Association membership meetings (e.g. Annual General Meeting). 
    • The accurate recording and distribution of the minutes of Board of Directors meetings and of the Association’s Annual General Meeting is managed appropriately.
  • The management of membership and contact lists for Directors, Coordinators, and Staff of  London Volleyball Club.
    • Ensure contact information is up-to-date.
    • Track Board Member terms.
    • Orient New Board Members

The (up to) three other roles are categorized as Community Members. Community Members bring specific and professional expertise and experience to the club, supporting processes and committees as needed.Here is the role description:

  • Community members are responsible for bringing unique skills and perspectives to the Board of Directors in helping professionalize the organization and meet expectations. 
    • This includes, but is not limited to, prioritizing an internal focus on the procedures and processes of the Board of Directors and the organization more generally, aiming to ensure everything is working effectively and efficiently. 
      • Review current policies, website, and information sources to ensure efficient, accurate, privacy and ‘as pertinent’ aspects meet the intended need–and if not, make recommendations to improve.
      • Identify or address known gaps in processes and provide recommendations to address. 
      • Assess or develop a process to address testing of new processes, website builds, policies, and procedures prior to ‘go-live’ or utilization by membership or potential membership. 
      • Ensure availability to Board, Management and Operation committees to assist in reviews of new or existing policies, processes, et cetera
    • This includes, but is not limited to, prioritizing an external focus on the interaction of the Board of Directors and the organization more broadly, aiming to build and maintain positive and constructive relationships with the Association’s members, associate members (parents, guardians) and the London community. 
      • Build and maintain relationships by fostering openness and transparency in communication between the Board and members and associate members. 
      • Support Community Engagement & Outreach Committee and facilitate communication with families and other stakeholders, new families, team managers, and more.
      • Identify or address known gaps in relationships, interaction, communication within the organization (members, parents, athletes).
